Percolate Music is seeking an Assistant Festival Producer to support the planning and delivery of Queens Yard Summer Party and High Lights from February 2026 - June 2026.

This role is central to ensuring the seamless flow of communication between artists, management, production and operational teams. The successful candidate will be highly organised, personable, and comfortable working in both pre-event administrative settings and high-energy live environments.

Key Responsibilities

1. Production Coordination

  • Assist the Production Manager with advancing technical requirements and ensuring venue and supplier capabilities align with event needs.

     
  • Coordinate with venues and local production teams regarding load-in/out times, soundchecks, and backline requirements.

     
  • Track and manage production deliverables, including equipment lists, vendor bookings, and crew schedules.

     
  • Help ensure technical documentation (stage plots, power plans, site maps) is organised and accessible across teams.
  • Ensure briefing documents are sent out with due time to relevant stakeholders and crew. 

2. Artist Advancing 

  • Lead communication with artist teams to collect all necessary advance materials (stage plots, input lists, hospitality riders, travel details, etc.).

     
  • Input and maintain artist advance information in Percolate’s internal systems (Google Drive).

     
  • Produce concise, accurate advance sheets for internal departments (production, hospitality, site, artist liaison, transport).

     
  • Support the Artist Liaison Manager in confirming on-site schedules, accreditation, and hospitality requirements.

     
  • Be a key contact for artist teams in the run-up to events, maintaining a professional yet friendly tone consistent with Percolate’s culture.

3. Hospitality & Logistics

  • Work closely with the Hospitality and Artist Liaison teams to fulfil artist rider requirements within budget and logistical constraints.

     
  • Support the booking and coordination of transport, hotels, and per diems for artists and crew where required (we work with delivered deals mostly)

     
  • Prepare and distribute hospitality schedules, contact sheets, and on-site briefing materials.

     
  • Assist with on-site artist and crew hospitality setup and ensure a welcoming environment across all Percolate events.
     

4. Administrative & Event Support

  • Maintain clear and accurate documentation of all advances, communications, and confirmations.

     
  • Support creation and updating of production schedules, run sheets, and accreditation lists.

     
  • Assist with on-site artist check-in, credential distribution, and liaison desk operations.

     
  • Participate in post-event reporting and feedback, contributing to continual process improvement across shows and festivals.
  • Feeding into event budgets to make sure all budgets are up to date. 
     

Timeline & Commitment

  • February - April 2026: Focus on artist and production advancing for spring club shows; preparation for summer festival season.

     
  • May - June 2026: On-site support for Percolate’s multi-day festivals and select summer shows, including travel as required.

     
  • Must be available for flexible hours, including evenings, weekends, and extended show days during events.
     

Deliverables

  • Fully advanced artist and production documentation for each assigned event.

     
  • Completed production and hospitality schedules submitted on agreed timelines.

     
  • On-site support at all major Percolate events during the contract term.

     
  • Post-event reconciliation and reporting completed promptly.
     

Qualifications & Attributes

  • 1 - 2 years’ experience in live event production, artist advancing & logistics.
     
  • Excellent written and verbal communication skills.
     
  • Strong organisation and multitasking ability, with attention to detail.
     
  • Proficiency with Google Workspace and general production documentation tools.
  • Positive, approachable, and unflappable - able to uphold high standards of event delivery.
